​Title: Secretary III                                                                                                                FLSA: Non-exempt 

Job Summary:
Provides comprehensive administrative and clerical support to ensure office operations run efficiently. They are responsible for managing communications (answering phones/emails), coordinating schedules and meetings, greeting visitors, and maintaining files and records. Acting as the first point of contact for an organization, they play a crucial role in managing daily workflow and supporting team productivity.

Supervisor: Pastor, Ministry Director

Duties and Responsibilities:

1. Welcome and greet people, screens telephone calls, visitors and incoming correspondence.
2. Composes correspondence on own initiative about administrative matters and general office policies for supervisor’s approval based on knowledge of the ministry goals.
3. Determines which requests should be handled by the supervisor, appropriate staff member or other ministries. 
4. Controls mail and ensure timely staff response.
5. Prepares and /or sends routine form letters.
6. Anticipates and prepares materials needed by the Pastor or supervisor for conferences/ meetings correspondence, appointments meetings, telephone calls, etc. and informs Pastor/Supervisor on matters to be considered.               
7. Attend meetings, if requested prepare agendas and records and reports on the meeting proceedings. 
8. Reads publications, regulations, and directives and takes actions or refers those that are important to the Pastor/Supervisor and staff.  Reviews outgoing materials and correspondence for internal consistency and conformance with the ministry’s procedures.
9. Prepare special or one-time reports, summaries, certificates requests, wedding files, funerals, post weekly collection envelopes in a timely manner, and weekly bulletin.  Update cemetery computer files, contracts and work closely with person in charge of cemetery. 
10. Requisitions supplies, printing, maintenance, and other services. Communicate with staff on purchases.
11. Establish and maintain office files and secure files.
12. Performs word and excel spreadsheets, and data processing of minutes, memos, agendas, current mailing lists and other documents for the Ministry.
13. Participate in staff retreats and continuing education.
14. Other duties as assigned.


Qualifications:
      
1. Comprehensive knowledge of modern office practices.
2. Knowledge, skills and experience in personal computers, word processors, and Microsoft applications such as Word, Excel, PowerPoint, Publication.
3. Proficient typing skills at 45 wpm.
4. Five years of work experience in general office procedures and practices
5. Ability to communicate effectively both orally and in writing in a professional manner.
6. Ability to work with and appropriately handle confidential information.
7. Ability to deal with the public in a professional, courteous and tactful manner.
8. Bilingual English / Spanish.
9. High School Diploma and some college.
10. Must have the ability to maintain confidentiality in all matters.

Working Conditions

1. Schedule of hours will be Monday – Friday 8:00 am – 4:00 pm, with a one-hour lunch break from 12 pm – 1 pm.  Schedule may vary to meet needs of the office.  
2. Prior Management approval is needed for any changes in schedule.

  1. Cleans and maintains areas of buildings and church grounds (i.e., office,   
social hall, classrooms,
            church, Casa Emmaus, Rectory and to include warehouse)
2.         Clean hallways, offices, washroom, lavatories, rooms. kitchens and
            Other specified area on a daily basis by washing mopping and dusting etc.
3.        Check outside of building for damage, litter, and or conditions of general deterioration and perform maintenance as needed.   
4.         Performs schedule daily, weekly, monthly, semiannual or annual janitorial services (i.e.,
            floor waxing, window washing, carpet cleaning, polish furniture as directed by supervisor
            and in accordance with the Maintenance Schedule.
5.         Assist in cutting and or planting grass, flowers, trees and shrubs. 
6.         Assist in picking up grass and carting away leaves, paper or other litter. 
7.         Performs setups to include the setting up of chairs, tables and other equipment and items to properly provide for meetings, retreats, and/or other special occasions. 
8.         Assist with basic carpentry, plumbing, painting, air conditioning/heating and other maintenance and repair procedures.
9.         Assist in ensuring that the buildings are functional and compliant per building code regulations.
10.       Secures buildings and occupants by maintaining alarm and fire protection devices.
11.       Assist in organizing all areas of warehouse to include all tools in proper condition helps
            with loading and unloading supplies.
12.       Performs other duties as assigned.
13.       Maintain list of all inventories in Warehouse and Church and Community Center.
 
 
Qualifications:
1.         Comprehensive knowledge of modern building and equipment maintenance and repair practices.
2.         Knowledge, skills and experience in handling grounds and building equipment and tools.
3.         One year of work experience in building and equipment maintenance and repair.
4.         Ability to deal with the public in a professional, courteous and tactful manner.
7.         Ability to read directions and safety warnings.
8.         Bilingual English / Spanish.
9.         High School Diploma or equivalent.
 
Physical Demands:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 
While performing the duties of this job, the employee is frequently required to sit; use hands and fingers to operate outdoor equipment and machines.  The employee is required to stand and walk.  Employee may occasionally be exposed to outsides weather conditions.  The employee must occasionally lift and move objects.  Vision abilities required by this job may include close vision, distance vision and ability to adjust focus.
 
Working Conditions:
1.      Schedule of hours, 40 hours per week.
2.   Schedule may vary according to the needs of the parish.
