Primary Function of this Position
To provide general custodial and maintenance/repairs of all facilities.
 
JOB SUMMARY: The Maintenance 1 position is primarily responsible for providing coordinated custodial and maintenance services for the parish as directed and assigned by the Pastor and his designate. Sets up, takes down and provides cleaning services for parish activities within facilities. Responsible for basic maintenance of buildings and grounds as assigned by the Pastor and his designate. Must be able to perform all aspects of job as described below where applicable.
 
This position is full-time, 37 hours per week, twelve months of the year. Some evening and weekend hours may be required as needed based on parish activities. This is a Non-exempt position; any overtime with approval of Pastor. This position reports to and works under the direction of the Pastor and designate. Salary commensurate with experience.
 
PHYSICAL DEMAND LEVEL/ EQUIVALENT MET LEVEL:
Medium /3.6-6.3 METs (0-50 lbs.)
 
QUALIFICATIONS :
High School Graduate 

Valid driver’s license and good driving record. Drive as necessary on parish property, and on errands as required by parish. 

Basic knowledge and skills in use of custodial tools and equipment.
Attention to detail.
Excellent verbal communication skills.

Team working.
Time management.
 
 
ESSENTIAL JOB REQUIREMENTS:
1.  Complete daily rounds/inspections (e.g. turning on lights, unlocking entrances, etc.). 

2.  Computer programming of heating/cooling for normal daily/weekly parish activities (weekend Masses, RE classes etc.), and special events as they arise weddings, funerals meetings, etc.). 

3.  Cleans classrooms, hallways, washrooms, lavatories, drinking fountains, offices, entrances, etc. on a daily basis. 

4.  General custodial tasks throughout parish as assigned by Pastor and designate. (e.g. parish hall, bathrooms, chapel and church, rectory, etc.). Includes moving and replacing tables and chairs. Clean up, remove trash and other miscellaneous custodial tasks. 

5.  Inspects and cleans walls for graffiti and markings as necessary. 

6.  General maintenance/repair of facilities as assigned by Pastor and designate, including electrical and plumbing needs, etc. Examples include, but are not limited to replacing down spouts, burned out bulbs, broken windows; snaking a drain; cleaning heating units, interior and exterior painting, replacing plumbing and associated fixtures, repairs flooring etc. 

7.  Performs scheduled monthly, semi-annual, and annual janitorial duties as assigned by Pastor and designate (i.e. floor scrubbing and waxing, painting, window washing, carpet cleaning, etc.). 

8.  Assists with Set-up and take down for parish activities; i.e. meetings/classes/funerals /confirmation, etc. 

9.  Performs snow removal. 

10.  Performs yard work as needed. (examples include litter removal, raking, hedge trimming, cut/remove tree branches etc.) 

10.  Maintain cleanliness/safety of work area, parish grounds and facilities at all times. 

 
ESSENTIAL JOB FUNCTIONS:
Position requires ability to stand and walk for extended periods of time, ability to use hands, speak and hear and lift up to 50 pounds. Requires close vision to use cleaning equipment. Must be able to reach above shoulder, stoop, kneel and climb. Moderate noise. Some exposure to the outside.
 
In addition, all Staff members are expected to perform their duties in such a manner and spirit which will make people feel at home in the church. In addition to this description staff members are expected to recognize tasks which need to be done, and to undertake them on their own initiative, or to draw them to the attention of their supervisor, if the tasks are beyond their ability or time.

JOB DESCRIPTION

Title:        School Bookkeeper            FLSA STATUS:  Non-Exempt, 
Part-Time (15-19 hours per week)

Job Summary:
Primary responsibility is to process the financial transactions of the school. This individual shall review, prepare and submit monthly ledge and financial reports to both the Principal and to the Diocesan Finance Office for processing.

Supervisor:        Principal
Duties and Responsibilities:
1.    Prepares and reviews the general journal entries, cash disbursement and cash receipts, ledgers of the school on a monthly basis and forwards to the Diocesan Finance Office.
2.    Receive, record, and issue cash receipts for funds received by the school which includes FACTS.
3.    Prepares bank deposits of the school.
4.    Prepares supporting documentation, including bank balances, cash flow, bank reconciliations, accruals, and other necessary detail schedules and reports required as an audit trail to the general ledger.
5.    Assist the Principal in the preparation of the monthly board and finance boards as well as the annual budget.
6.    Establishes and maintains filing systems to efficiently retrieve vendor, fundraising reports, and other school finance information.
7.    Prepares payroll, payroll tax deposits on a monthly basis, federal payroll tax report (form 941) on a quarterly basis, and other federal reports, i.e. W-2, W-3, W-4. Makes payments of all benefits to the appropriate agencies.
8.    Reviews and verifies availability of funds through the budgetary process, and processes invoices and posting to their appropriate fund and general ledger accounts.
9.    Prepares check disbursements, at the request of the Principal, for review and signature.
10.    Reviews income statements on a monthly basis.
11.    Reports and maintains records on tuition and other fees paid to the school.
12.    Participates in the annual staff retreat(s) and continuing education of staff.

Of course, as all other employees, this individual will be expected to perform other duties assigned or required by the Principal.


Qualifications:
1.    Knowledge of modern office practices.
2.    Knowledge, skills and experience in personal computers, word processing (WORD), spreadsheets (EXCEL), and Parish Soft and/or Electronic Accounting  Software Application.
3.    Proficient keyboarding and 10-key adding machine by touch skills.
4.     Two years of work experience or education in accounting office procedures and practices.
5.    Ability to communicate effectively both orally and in writing in a professional manner.
6.    Ability to work with and appropriately handle confidential information.
7.    Ability to deal with the public in a professional, courteous and tactful manner.
8.    Bilingual English/Spanish
9.    High School Diploma or equivalent; Business School Training preferred.

Working Conditions:
1.    Flexible, 15-19 hours per week between 7:30 am to 4:00 pm
2.    Prior management approval on overtime is required.

Classroom Assistant

​Tepeyac Institute is looking for a dedicated classroom assistant who can help set up and look over the classes we offer at the Pastoral Center of the Diocese and at different parishes. 
Duties & Responsibilities:
  • To make sure all the class equipment is ready (lists, computer, projector, coffee, etc.) to start the class
  • Open classroom 1 hour before classes start and close 15 min after classes end. 
  • Set up equipment and make sure room is clean and ready to use. 
  • Attend students with registrations and questions
  • Assist instructor with class equipment
  • Be present in class in case help is needed from students or the instructor
  • Distribute and collect evaluation forms, and deliver them to Tepeyac.
  • Make announcements at the beginning or end of class when needed
  • After class, clean room, pick up equipment and deliver to Tepeyac. Make sure room stays locked. 
  • To be in communications with the Programs Coordinator for any announcements or instructions needed. 
Other indications:
  • Classes are held at the Pastoral Center of the Diocese of El Paso and at different parishes. Personal means of transportation is required to assist these. Gas expenses are covered.
  • Up to 19 hours per week, depending on the scheduled classes. 
  • Classes can be held Monday to Thursday in the evenings, and Saturday mornings. 
  • Bilingual in English and Spanish
  • Basic knowledge of computer equipment management (set up computers, projector, sound equipment, etc.)
  • May be asked to work at Tepeyac to help with office work, assist in ceremonies or events. 
  • Business casual dress code.
