Parish Secretary II. STATUS Full-time and Non-Exempt III. ACCOUNTABILITY The parish secretary for St. Pius X Parish will be directly accountable to the pastor. IV. GENERAL DESCRIPTION Responsible for providing secretarial and related office services for members of the parish, staff and various other ministries, committees and boards. V. JOB RESPONSIBILITIES 1. Performs secretarial duties for the pastor and other designated staff. 2. Assists parishioners in any way possible. 3. Greets and refers visitors to the appropriate ministers, ministries or services. 4. Receives and places telephone calls 5. Tracks staff availability and communicates to others as needed 6. Schedules appointments as requested 7. Produces written communications (letters, reports, memos) 8. Processes mail; receives, distributes and arranges for delivery of outgoing mail on a daily basis; prepares bulk mailings as needed. 9. Maintains office records, i.e., parishioner records and filing. 10. Attends staff meetings and other meetings as requested. 11. Schedules parish facilities to include maintaining a calendar that identifies the time, date, name of organization, room scheduled, and use of keys for facilities. 12. Coordinates the timely opening of the parish office in the morning and the secure closing of the office in the evening. Ensures that all machines are off, windows and doors are closed and locked and all appropriate lights and heat are off. 13. Oversees an inventory of office supplies. Orders materials, supplies or equipment as needed. 14. Maintains petty cash fund 15. Prepares and submits reports to bookkeeper. Monies submitted at the office, stipends and stoles fees, etc. 16. Recommends contracts for approval and oversees the maintenance contracts for the various office machines. 17. Coordinates volunteer programs. May supervise volunteers, as needed, for office and other parish projects. Recruits, orients, trains and supports volunteers. 18. May supervise office support staff positions. 19. Prepares and produces the weekly Sunday bulletin. Gathers and edits the content and layout of the bulletin and completes the bulletin in time for final printing and prints. 20. Prepares Universal Prayers and Announcements for weekend Masses. 21. Participates in the outreach and welcoming ministry of the parish. Prepares and sends letters to new parishioners inviting them to register and sends letters of welcome when they do. 22. Keep registration forms updated and send out registration forms for new parishioners. 23. Updates census records on a regular basis and adds/deletes/changes information as needed. 24. May maintain the parish offering envelope system. Updates data on a regular basis. 25. Coordinates scheduling of events in conjunction with Masses, baptisms, weddings, wedding anniversaries, funerals and quinceañeras 26. Arrange for sacristans, musicians and altar servers for funerals, weddings, wedding anniversaries, and quinceañeras. 27. Schedules Pre-Baptism classes. 28. Prepares Baptism & Wedding certificates. 29. Prints sacramental certificates as requested. 30. Maintains a sacramental record keeping system including weddings, baptisms, funerals, first Eucharist, first penance and confirmation. 31. Sends wedding and other sacrament notification to church of baptism. 32. Prepares for different group meetings e.g., finance committee, corporate board, vicariate priests, etc. 33. Prepare tamper proof bags for weekend collection. VI. PERSONAL QUALIFICATIONS: 1. Possess a personal vision of Jesus’ ministry and how it can be embodied in parish life. 2. Excellent people relations skills for representing the parish to those who call, write or visit. 3. An ability to work collaboratively with all parish, school, staff members and parish ministries. 4. Understands the importance of confidentiality of church records and conversations. VII. PROFESSIONAL QUALIFICATIONS: 1. High School graduate with some college courses or business school 2. Five years of successful general secretarial experience. 3. Typing and/or word processing at 50 wpm. 4. Have computer skills and knowledge of Microsoft Office products. 5. Have knowledge of Social Media. 6. Demonstrated ability to set priorities and organize work effectively and efficiently including developing and maintaining effective record-keeping systems. 7. Ability to compose correspondence, minutes and/or reports. 8. Office management experience preferred. VIII. PHYSICAL DEMANDS/ WORK ENVIRONMENT While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; talk and hear and occasionally required to climb stairs; balance; stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities usually required by this job include close, distance, color and peripheral vision, depth perception and ability to adjust focus. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee is not exposed to weather conditions. IX. HOURS AND WORKING SITUATIONS The office hours are 8:00 a.m. to 5:00 p.m. The office is closed for all major holidays. Vacations are granted based on parish policy. Requires some variable hours and on call response after regular business hours to meet the needs of the parish. Requires some weekend, holiday and evening work for events or the ability to arrange coverage. These times include but are not limited to Christmas season, Holy Week/Easter, fundraisers, after mass functions, etc. X. SALARY AND BENEFITS The salary offered will be established in keeping with the social teachings of the Church with regard to just compensation for human work. Benefits include the customary benefits, e.g., healthcare coverage for a single person, retirement plan. XI. EVALUATION: There shall be a formal conference with the pastor or his designee for the purpose of evaluation of this position. XII. STAFF RELATIONSHIPS: The parish secretary will work collaboratively with all other members of the parish, school and religious education staff.
