TITLE: Secretary I / Office Consultant FLSA STATUS: Non-Exempt
GRADE: 3 STEP: 3
JOB SUMMARY: Carries out recurring office procedures independently. Supervisor provides specific instructions on new assignments and checks completed work for accuracy.
SUPERVISOR: Cemetery Director & Assistant Director
1.Is responsible to the Director/Assistant Director for carrying out the duties required by the job description.
2.Responds to routine telephone requests, which have standard answers.
3.Takes care of persons when they come in for information.
4.Helps families to make at need burial arrangements and prepares all documents needed for this services.
5.Helps families purchase pre need plots, niches, mausoleum crypts, and private estates crypts.
6.Helps families to order memorial markers at need or pre need.
7.Prepares and/or sends routine form letters.
8.Performs word and data processing of documents for the Cemetery.
9.Prepares and reviews materials for supervisor’s approval for typographical accuracy and proper format.
10.Handles complaints or directs them to the supervisor.
11.Establishes and maintains office files.
12.Posting end of day; prepares paper work, reconciles cash with payments on account and contract payments; prepares bank deposit slip.
13.Runs errands-Bank, Post Office and any other errands directed by supervisor.
14.Participates in staff retreats and continuing education.
15.Performs other related duties.
1.Knowledge, skills and experience in personal computers and word processors.
2.Proficient typing skills at 45 wpm.
3.Basic knowledge and one year work experience of general office procedures and practices.
4.Ability to communicate effectively both orally and in writing in a professional manner.
5.Ability to work with and appropriately handle confidential information.
6.Ability to deal with the public in a professional, courteous and tactful manner.
8.High School diploma or equivalent (business school).
1.Schedule of hours, Monday thru Friday, 8:00 a.m. to 4:00 p.m.
2.Schedule for Saturday, 8:00 a.m. to 12:00 noon, as needed.
3.Prior Management approval on overtime is required.
4.Management may request overtime with pay after regular hours and on weekends based on Ministry activities.
